Virtual Event Production & Platform Management

Turning complex conference programs into engaging, fully built virtual events

The Challenge

Delivering a multi-session conference virtually requires more than moving presentations online. Registration, speakers, concurrent sessions, networking, sponsors and exhibitors, attendee communications, event materials, and live technical support all need to work together within a single digital experience.

Over three years, I supported the production of three major virtual events: a two-day Annual Membership Meeting and conference in 2022, the inaugural Language Access Congress in 2023, and a two-day educational symposium in 2024. The events ranged from 93 to 290 attendees and included a variety of programming, from keynotes and panel discussions to concurrent workshops, networking activities, and virtual exhibitor experiences. The 2023 Congress also incorporated the organization's 25th anniversary celebration.

My Role

Working from programs developed by event committees, I independently built each event in Zoom Events, translating agendas, speaker information, session descriptions, schedules, and other content into a functioning virtual conference environment.

My responsibilities included configuring registration and ticketing, building sessions and concurrent programming, creating speaker profiles, setting up sponsor and exhibitor areas, monitoring registrations, gathering missing speaker materials, and troubleshooting attendee access. I also designed the accompanying event agendas and program brochures, creating a consistent experience between event communications and the virtual platform.

Because Zoom Events was unfamiliar to many attendees, I developed detailed user instructions to help participants prepare for the event, register, enter the platform, and navigate its features. The 2022 attendee guide, for example, walked participants through accessing sessions, creating itineraries, finding speakers and sponsors, and navigating the virtual Expo Center.

During the live events, I worked behind the scenes alongside an experienced technical team member to provide troubleshooting and attendee support.

The Result

All three events were successfully delivered through Zoom Events, including complex concurrent programming that operated smoothly during the live conferences.

Together, the events served 563 attendees:

The projects demonstrated my ability to take a program developed by others and manage the many technical, visual, and logistical pieces required to turn it into a cohesive virtual event experience.
